How do I change team settings?

As an administrator, you can adjust the settings for your organisation by changing the settings of the top-level team. These settings work in a cascading manner and therefore also apply to all underlying teams.

For each team, you have the option to deviate from the organisation-wide settings. You can do this by unlinking the settings for that specific team. After that, you can apply different settings for that team.

In this article, you can read which settings can be adjusted and what they mean.

General settings

  1. Employees may set, change and delete their own goals
When this setting is enabled, employees can create, edit and delete their own goals. When this setting is disabled, only administrators and managers can create, edit and delete goals for employees.

  2. Team members can see each other and are allowed to see open goals and feedback.
When this setting is enabled, employees can see each other via the ‘Team’ tab. This does not mean they can automatically see each other’s goals and/or feedback. They can only do so if goals and/or feedback have been made visible to colleagues (team members). When this setting is disabled, employees cannot see their colleagues anywhere in Dialog. They will also not see the ‘Team’ tab.

  3. Employees may edit fixed goals themselves
If your organisation uses fixed goals and this setting is enabled, employees are allowed to edit the content of those fixed goals themselves. When this setting is disabled, they cannot edit the content of fixed goals themselves.
Managers and administrators can always edit an employee’s fixed goals.

  4. Show all employees as possible coach.
If employees in your organisation can assign a coach and this setting is enabled, they can choose any employee within the organisation as their coach. When this setting is disabled, employees can only choose team members as their coach.

  5. Personal plan must be approved by a manager.
When this setting is enabled, a manager must approve an employee’s personal plan before it can be used. When this setting is disabled, approval is not required and the employee can start working on their goals immediately.

Feedback settings

  1. Employees may request feedback from all colleagues.
When this setting is enabled, all employees in the organisation appear in the drop-down list when an employee requests feedback. When this setting is disabled, only direct team members appear in the drop-down list.

Good to know: you can request feedback from anyone both inside and outside your organisation by typing in their email address. This is only possible if this option has been enabled in the settings. If this option is not visible, please check with your Customer Success Manager.

  2. Employees may give feedback to all colleagues.
When this setting is enabled, employees can give unsolicited feedback to all employees in the organisation. When this setting is disabled, employees can only give unsolicited feedback to direct team members.

  3. Employees may delete received feedback.
When this setting is enabled, employees can delete feedback they have received. When this setting is disabled, they cannot.

  4. Employees may make received feedback private.
When this setting is enabled, employees can mark feedback as private. In that case, it is only visible to the employee themselves (and the feedback provider). When this setting is disabled, employees cannot restrict the visibility of feedback.
Managers can see the number of feedback items given or received, but cannot see the content if the employee has marked the feedback as private.

  5. Who has standard access to received feedback from an employee.
In this field, you can specify who can see an employee’s received feedback by default. This means that if an employee does not change the privacy setting of the feedback themselves, the received feedback will be visible to the people specified here.

Goal privacy

  1. Employees may deviate from default privacy settings for performance goals.
In this field, you specify who can view an employee’s performance goals by default. A manager can always view an employee’s goals. You can also indicate via the checkbox whether employees are allowed to deviate from this default setting. When this setting is enabled, employees can decide per performance goal whether they want to deviate from the default setting.

  2. Employees may deviate from default privacy settings for development goals.
In this field, you specify who can view an employee’s development goals by default. A manager can always view an employee’s goals. You can also indicate via the checkbox whether employees are allowed to deviate from this default setting. When this setting is enabled, employees can decide per development goal whether they want to deviate from the default setting.

  3. Employees may deviate from default privacy settings for ambitions.
In this field, you specify who can view an employee’s ambitions by default. A manager can always view an employee’s goals. You can also indicate via the checkbox whether employees are allowed to deviate from this default setting. When this setting is enabled, employees can decide per ambition whether they want to deviate from the default setting.
Please note: Ambitions are only available with our Talent Module.

Evaluation settings

Employee and manager may always initiate or scheduele an evaluation. (Interim evaluation)
When this setting is enabled, both employees and managers can start or schedule a new evaluation at any time. These are additional evaluations that take place alongside the scheduled evaluation moments. This allows employees to prepare for any additional evaluation meetings.

Read here how, as an employee, you can start an additional evaluation.

Read here how, as a manager, you can schedule an additional evaluation with an employee.

You can then specify the name of this additional evaluation moment and select the form that will be used. Read here how you can view what an evaluation form looks like.

Finally, you can specify who completes the evaluation form: only the employee, only the evaluator, or both.

Messages settings

Send activities emails to employees.
Managers receive an email every two weeks containing an overview of their teams’ activity over the past two weeks. When this setting is enabled, all employees will also receive these emails. When this setting is disabled, only managers will receive these emails.

Roles / rights for this team

This section shows all employees who have roles for this team. You can add roles here that apply to this team and, if applicable, to underlying teams.
